The three parts every price is made of
Whatever a provider quotes you, the cost has three layers underneath, and understanding them lets you compare quotes properly.
The first layer is the build: understanding your business, configuring the agent around your services and rules, connecting your calendar, CRM, or sheets, and testing until it behaves correctly. This is skilled work done once, and it is where quality is decided. A cheap build is usually a generic template with your logo on it.
The second layer is the running cost: the AI itself charges tiny amounts per minute of conversation or per message, and channels like WhatsApp's official Business API charge small per-conversation fees. For typical small business volumes these are modest, but they are real, and they belong to whoever's accounts they run on. Ask every provider who pays these and whether there is a markup.
The third layer is care: keeping the system working as your business changes, your prices update, your hours shift, the technology moves. Some providers charge a monthly retainer, some include a care period, some vanish after handover. This layer is where most cheap deals quietly become expensive ones.
The ranges you will actually see
Broad honesty about the market: simple, template-style bots exist for a few thousand rupees a month, and they behave like it. Properly built custom agents, configured around one business with real integrations, typically involve a build cost plus modest running costs, with care either included for a period or priced monthly. Enterprise systems run into lakhs and are not what a small business needs.
The most useful comparison is not against other quotes. It is against the alternative: a full-time front desk hire costs a full salary every month, works one shift, and takes leave. Against the revenue leaking through missed calls and slow replies, a well-built agent typically costs a small fraction of what the problem does.
Questions that expose a bad quote
Ask these of anyone, including us. What exactly is included in the build, and what costs extra later? Who owns the system after full payment? Whose accounts do the running costs sit in, and is there a markup? What happens after go-live, who fixes things, for how long, at what cost? And if the provider will not give a written scope with the price, walk away.
