Privacy Policy
We collect only what we need to respond to you, run the demo, and deliver our work. We do not sell your data. We do not run ads. Demo conversations pass through the AI providers that power the demo, and we tell you exactly which ones below. When we build AI agents for a client, those agents run on the client's own systems, and the client's customer data stays with the client. If you ever want to see, correct, or delete what we hold about you, write to privacy@nixly.in and we will act on it.
The full version follows, in plain language.
1. Who we are
Nixly Automations Private Limited ("Nixly", "we", "us") builds AI voice and message agents that catch the leads a business misses and turn them into booked customers. Our website is nixly.in.
This policy explains what personal data we collect, why we collect it, how we protect it, and the rights you have over it. It is written to comply with the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 (together, the "DPDP framework").
This policy covers two situations:
- You visit or use nixly.in (browsing, contacting us, trying the demo, making a payment). Here, Nixly decides how your data is handled, and is the Data Fiduciary.
- You interact with an AI agent that Nixly built for one of our clients (for example, you call a salon and a Nixly-built agent answers). Here, our client decides how your data is handled and is the Data Fiduciary. Nixly acts only as a processor on their instructions. Section 8 explains this.
2. What we collect on nixly.in
When you contact us or start a build.
Name, email address, phone number, business name, your message, and the budget range you share with us. You give this to us directly through our contact form.
When you try the demo.
You sign in before using the demo. We record your sign-in details (name and email), which demos you tried, how many times you used them, and any feedback you choose to leave.
Demo calls are recorded for quality and AI training purposes, and the agent tells you this at the start of every call. The demo is a live AI agent, so your conversation with it is processed in real time by the AI infrastructure providers listed in Section 5: the voice platform, the speech and voice synthesis services, and the AI model that generates responses. These providers may retain conversation logs, transcripts, and recordings in their systems for a limited period for reliability, quality, and troubleshooting, under their own privacy policies. We configure their settings to limit retention wherever their platforms allow, we do not use your demo conversations for anything beyond running and improving the demo, and you can ask us to delete your demo data at any time by writing to privacy@nixly.in.
When you pay for demo access or a service.
After your free demo uses, continued access is paid. Payments are handled by an RBI-authorised payment processor, named here before paid access goes live. We receive confirmation of your payment, the amount, and basic transaction details. Your card number, UPI PIN, and banking credentials go directly to the payment processor and are handled under its own security standards; they are not designed to pass through Nixly's systems at any point.
When you subscribe to updates.
Your name and email address, given through the subscribe form, so we can send you updates about our AI agents, automations, and what we are building. You can stop these at any time by replying to any update or writing to privacy@nixly.in, and we will remove you from the list.
When you browse.
Basic technical data needed to serve the site (device type, browser, pages requested). If you allow analytics cookies, we also collect anonymised usage statistics such as pages viewed and time on page, as described in our Cookie Policy.
Children's data.
Our services are meant for businesses and business owners. We do not knowingly collect or process data from anyone under 18, and we do not knowingly track, profile, or advertise to children.
3. Why we collect it
We use your data only for these purposes:
- To respond when you contact us and to prepare a plan and a price for your build
- To create and manage your demo account, including tracking your free usage allowance
- To operate the demo itself, which requires your conversation to be processed by the AI infrastructure providers listed in Section 5
- To process payments for demo access and services you purchase
- To improve the website and demo based on usage patterns and feedback
- To send you service communication about your enquiry, account, or engagement
- To send you the content updates you subscribed to, until you opt out
- To meet our legal obligations, such as tax and accounting records
We do not sell your data. We do not share it with advertisers. Beyond running and improving the services described in this policy, we do not use your data to train AI models of our own.
4. Consent, and taking it back
Where we process your data based on consent, that consent is specific to the purpose we stated when we asked. You can withdraw consent at any time by writing to privacy@nixly.in. Withdrawing is as easy as giving it: one email is enough. If you withdraw, we will stop the related processing, though it will not affect what was lawfully done before.
5. Who we share it with
We share data only with the service providers we need to run Nixly, and only to the extent needed.
Website and operations
- Vercel hosts our website
- Google Workspace runs our email (@nixly.in)
- Notion and Supabase store form submissions and lead records so we can respond and follow up
- Google Analytics provides anonymised website statistics, if you allow analytics cookies
- An RBI-authorised payment processor handles payments, named here before paid access goes live
- WhatsApp carries conversations you start with us on WhatsApp, under Meta's own terms
Demo AI infrastructure
When you use the demo, your conversation is processed by:
- Vapi, the voice agent platform that runs the call and handles speech recognition
- The AI model provider that generates the agent's responses
- ElevenLabs, which synthesises the agent's voice
- Cal.com, if you book a demo appointment through the agent
- AiSensy, if you interact with the agent over WhatsApp
- n8n and Notion, which route and store enquiry and booking details so we can follow up
Some of these providers store data on servers outside India. The DPDP framework permits such transfers unless the Government of India restricts a specific country. We choose providers with strong, industry-standard security practices.
Beyond this list, we disclose personal data only if the law requires it, or to protect our legal rights.
6. How long we keep it
We keep personal data only as long as the purpose it was collected for is being served:
- Enquiries that do not become engagements: deleted within 12 months of our last exchange
- Demo accounts: kept while your account is active; deleted within 12 months of your last sign-in
- Demo conversation data held by our AI infrastructure providers: limited under their retention settings, and deleted on your request
- Client and engagement records: kept for the duration of the engagement and thereafter as required by tax and company law
- Payment records: kept as required by Indian tax and accounting law
When data is no longer needed, we delete it or anonymise it.
7. How we protect it
We use reasonable security safeguards appropriate to our size and the data we hold: access limited to those who need it, encrypted connections across the website, reputable providers with strong security certifications, and no storage of payment credentials on our systems. If a personal data breach ever affects you, we will inform you and the Data Protection Board of India as the DPDP framework requires, promptly and in plain language.
8. When Nixly builds for a client
This is the part most privacy policies bury. We will not.
When we deploy a voice or message agent for a client, the agent runs on the client's own systems and phone lines. Callers' and customers' data, such as call recordings, chat transcripts, appointment details, and contact information, belongs to the client and is designed to stay within the client's systems. Beyond what is needed to build, run, and support the deployment, Nixly does not seek to keep an independent copy of a client's customer data.
For those deployments, our client is the Data Fiduciary under the DPDP framework, and Nixly acts as a Data Processor on the client's written instructions, under a contract with appropriate security obligations. If you interacted with a business that uses a Nixly-built agent and you have questions about your data, please contact that business directly. We will assist them in honouring your request.
During a build, we may temporarily access samples of a client's data solely to configure and test the system. That access ends when the work does.
9. Your rights
Under the DPDP framework, you have the right to:
- Access a summary of the personal data we hold about you
- Correct data that is inaccurate or incomplete
- Erase your data when it is no longer needed for the purpose you gave it
- Grievance redressal through us first, and through the Data Protection Board of India if we do not resolve it
- Nominate another person to exercise these rights for you in case of death or incapacity
To exercise any of these, use the form at nixly.in/delete-my-data or email privacy@nixly.in with your request. We will verify it is really you, act on it within a reasonable time, and never charge you for it.
10. Grievances
If anything about our data handling concerns you, write to us first:
- Grievance Officer: Kritika Singh, Founder and Director
- Email: privacy@nixly.in
- Postal address: Nixly Automations Private Limited, Ground Floor, 35-C, Block K, Saket, New Delhi 110017
We will acknowledge your grievance within 48 hours and aim to resolve it within 30 days. If you are not satisfied with our response, you may approach the Data Protection Board of India.
11. Changes to this policy
If we change this policy, we will post the updated version here with a new date. If a change materially affects how we handle your data, we will tell you directly before it takes effect.
